Tēnei tūranga – About the role

The Support Officer is a team member position within the Refugee and Protection Unit in the Ministry of Business, Innovation and Employment (MBIE).

The fixed-term Support Officer positions are specifically for the purpose of a biometric enrolment project of pending refugee and protection claimants. The roles will be responsible for conducting the biometric enrolment of refugee and protection claimants and ensuring the quality and consistency of advice and practices.

The project involves biometric enrolment of refugee and protection claimants by collecting photographs, fingerprints and travel document information. The collection of biometric information allows data checking with New Zealand’s Migration 5 partners and helps maintain the integrity of the refugee and protection system by confirming claimants’ identities and travel histories.

The Support Officer will be principally responsible for the collection of this information and will work with their manager and other support team colleagues. On occasion, these roles will also contribute to the delivery of general administrative work.

Takohanga tuhinga o mua – Key accountabilities and deliverables

Biometrics

  • Understand and follow the Biometrics procedure as set out in the Support Team Standard Operating Procedures.
  • Physically collect biometric information from refugee claimants including their photograph and fingerprints in order to verify the identity of the client.
  • Understand and explain to claimants and their legal representatives the legal basis of the biometric programme and the process and be sensitive to their concerns.  
  • Escalate any concerns or problems to the applicable Manager. 
  • Understand and use delegated powers under the Immigration Act 2009 to take and record biometric information and the requirements and limits on those powers.
  • Record the biometric results as required in MBIE’s systems, and ensure the information is kept secure in between client appointments. 
  • Upload information required for Migration 5 checks and data sharing.

Administration Support

  • Data Entry, such as recording Biometrics taken on AMS.
  • Effective and appropriate communication with clients or their representatives requesting attendance at a Biometrics appointment.
  • General administration tasks as required by the Manager to support the overall delivery of the team’s work.

Customer Focus

  • Maintaining effective and respectful communication with customers through answering general queries about Biometrics via channels such as phone and email.

  • Take responsibility for own professional development, including working with managers, and seeking opportunities to learn and grow.
