Tēnei tūranga – About the role

The role will provide support to the Head of People & Culture, INZ with a range of administrative and coordination tasks to enable effective and efficient daily operations.

The role will be responsible for managing a busy workload with competing priorities such as coordinating large meetings, agendas, and other HR events, keeping on top of transactional HR Administration, liaising with managers where required and working with different internal stakeholders.

Day to day responsibilities will include establishing and managing compliance requirements of P&C’s policies and procedures, general administration tasks, and calendar and email management, which includes managing the teams’ shared inboxes for governance requirements.

Personal specifications

  • A proven track record of experience and achievement in project coordination or providing administrative support to managers and teams.
  • Demonstrated agility in supporting multiple teams and responding to changes in priorities within a fast-paced dynamic environment.
  • Wide ranging knowledge of administration systems and processes.
  • Sound relationship management skills.
  • Ability to set priorities and manage time effectively.

Qualifications

  • Comparable relevant experience.

Prerequisites

  • Must have the legal right to live and work in New Zealand.

Takohanga tuhinga o mua – Key accountabilities and deliverables

The People & Culture Coordinator will be required to deliver results in the following areas:

  • Providing administrative and coordination support to the Head of People & Culture, INZ and the INZ team to enable the operationalisation of the P&C Strategy.
  • Working with the INZ team to develop monthly reporting & insights from our people data that can help drive decision making and inform our stakeholders.
  • Performing coordination and administration for meetings including: booking meetings and rooms, preparing content, ensuring pre reading materials, packs are requirements are gathered and distributed.
  • Building strong collaborative relationships with the business.
  • Providing business management support for compliance monitoring and reporting.
  • Coordinating responses to Official Information Act requests, Ministerial Correspondence and Parliamentary Questions, from the INZ Advisory team.
  • Manage requests for information to compile reports.
  • Tracking of requests to OIAs/ reporting to ensure we meet our expectations around time frames.
  • Providing administrative support, including arranging meetings and travel, event management, ordering and purchasing of office equipment, liaising with facilities and IT staff, on boarding and off boarding staff.
  • Assisting the Head of P&C, INZ in prioritising key tasks, diary management, preparation of documentation, follow up actions, and reporting.
  • Identifying opportunities of internal best practice, delivering sound administrative systems and processes as part of a business group support team, and maintaining a high quality and consistent MBIE approach.
  • Supporting management and team in utilising self-serve approaches.

  • Complies with relevant safety and wellbeing policies, procedures, safe systems of work and event reporting.
