Tēnei tūranga – About the role

The Learning and Development (L&D) Coordinator sits within the Talent & Development Centre of Expertise (CoE). This position will provide L&D support to the Learning Delivery team within the Learning & Development team Service Support & Design branch of the People and Culture group.

The L&D Coordinator will provide administrative and coordination support to the Learning Delivery Team Leader to operationalise the management of the L&D training calendar, coordinate programs, manage course attendance, handle BAU related queries to support the implementation of the L&D strategy.

Personal specifications

  • Experience providing L&D coordination support particularly in the delivery of technical and behavioural learning programmes
  • Experience in an administration role which requires the ability to work autonomously to both apply and amend processes and problem solve.
  • Attention to details and deadlines; ability to manage multiple initiatives or projects.
  • Demonstrated ability to work in a team environment and to develop and maintain effective working relationships, maintaining trust and credibility with managers and staff.
  • Applied time management skills with ability to prioritise and multi-task to delivery work in full and on time.
  • Excellent communication skills, both written and oral, to suit a range of stakeholders.
  • Strong computer skills, including demonstrated competence in Microsoft Office suite of products, especially Word and PowerPoint.
  • Qualification in a secretarial or office management or comparable experience in a similar role.
  • Proven experience in an administration role or event management.
  • Confidence in using Microsoft Office products: Outlook, Word, Excel and PowerPoint, CRM and learning management system.
  • Must have the legal right to live and work in New Zealand.

Critical areas of success

  • Providing administrative and coordination support to the Team Leader Learning Delivery to enable the operationalisation of the learning delivery workplan, programmes and the wider L&D strategy.
  • Performing administration for learning sessions: booking rooms, coordinating with facilitators , ensuring coaches, facilitators and buddies are assigned as per the L&D plans.
  • Provide administrative support to the L&D Team Leader to ensure registers of learning needs and learning undertaken are maintained.
  • Building strong collaborative relationships with the business to support their ownership and implementation of the L&D strategy
  • Process / manage invoices invoices for vendors and participants.
  • Proficiently manage the L&D calendar. i.e add/ delete courses and actively manage the calendar.
  • Support MBIE’s Learning Management System administrator by answering queries, compiling reports and troubleshoot user issuews where required.
  • Proficiently maintain CRM Data to answer L&D related queries , run reports and collate information.

  • Participates as an active team member and contributes knowledge and expertise needed to achieve MBIE’s outcomes.
  • Develops effective working relationships with others in order to transfer knowledge and drive best practice.
  • Builds and maintains effective relationships and partnerships with internal and external stakeholders, as necessary, in order to identify and share best practice information and to promote the Ministry, its products and services.
