Tēnei Tūranga – About the role
The purpose of the EPMO Portfolio Analyst role is to provide accurate reporting, analysis, and support to enable informed decision making across Portfolio Boards and the Investment and Change Delivery Committee. The role extends to work across all EPMO objectives:
- Facilitation of the Ministry’s investment planning process.
- Ensuring an effective investment and delivery governance model is in place.
- Embedding of standardised delivery methodologies to enable successful delivery.
- Monitoring the impact of our investments to meet our strategic goals.
The Portfolio Analyst role is the central point for the day to say operations of the EPMO. This involves:
- Production of monthly Portfolio dashboards.
- Trend and analysis & reporting across MBIE’s Investment Portfolio.
- Supporting the project delivery workflow for portfolio governance and new project setup.
- Assisting with support for the Enterprise Project Management System - MS Project Server.
- Working closely with Finance to ensure projects are appropriately authorised and related approved funding is accurately recorded.

Qualifications
- Tertiary qualification or relevant work experience.
Skills and experience
- Must have understanding of structured project delivery gained through 2-3 years working in a project delivery environment.
- Must have intermediate MS Excel skills (using data connections; piviot tables, combining data with index match, vlookup, hlookup, IF statements, etc).
- Working knowledge of project management methodologies, preferably a minimum of PRINCE 2 foundation.
- Excellent written, analytical and verbal communication skills.
- Organised and systematic with an attention to detail.
- Meets deadlines.

- Must have the legal right to live and work in New Zealand.
Takohanga Tuhinga o mua – Key accountabilities and deliverables
Portfolio dashboard reporting
- Produce the monthly MS Excel based Portfolio dashboard reports due at month end.
- Work with the EPMO Principal Advisor to ensure appropriate performance analytics and metrics are in place for all delivery Portfolios.
Analysis and reporting
- Manage the information gathering for project related OIA’s, Annual Review, Select Committee and Estimates questions and Treasury Major Programme and Project reporting.
- Provide stakeholders with ad hoc excel reports and analysis for projects and programmes as required.
Governance support
- Record timely, accurate records of Portfolio Governance decisions in the Enterprise Project Management System – MS Project Server.
- Work closely with Finance to ensure project funding approvals and governance decisions are accurately recorded.
Support the Portfolio PMO teams
- Together with other members of the EPMO team, administer and support MBIE’s Enterprise Portfolio Management System (Microsoft Project Server).
- Work with the PMOs to improve data integrity to enable accurate performance reporting.
Assist with the Investor Confidence Rating assessment
- Assist with analysis and reporting for the Treasury led Investor Confidence Rating (ICR) assessments.
Relationship management
- Foster, develop and maintain positive and successful professional relationships with the Portfolio PMO teams and associated project managers.
- Develop and maintain a customer-focused approach to the delivery of timely, accurate, appropriate information and advice.
- Review and improve programme and project information management and communication.
Wellbeing, health & safety
- Displays commitment through actively supporting all safety and wellbeing initiatives.
- Ensures own and others safety at all times.
- Complies with relevant safety and wellbeing policies, procedures, safe systems of work and event reporting.
- Reports all incidents/accidents, including near misses in a timely fashion.
- Is involved in health and safety through participation and consultation.
