Tēnei tūranga – About the role

The Governance Secretariat provides governance support and advisory to the forthcoming Tourism Data and Insights Co-governance Group (the Group). Under the stewardship of the Tourism Evidence and Insights team, the purpose of the Group is to facilitate the provision of consistent and trusted tourism data and insights to support better decision making, long-term value gains and the sustainability of New Zealand’s tourism system.

Initially, the role will involve assisting with the establishment of the Group, which will be made of up of nine members from government and the tourism sector, and two chairs. The establishment phase will entail organising and facilitating meetings of an appointment committee and supporting the appointments process.

Once members and co-chairs are appointed, the Governance Secretariat will liase with members and schedule meetings according to their availability. They will also prepare and distribute materials and meeting packages in a timely manner, draft minutes of the meetings and distribute follow-up communication to the Group. Moreover, the Secratriate will prepare reports, letters, and information for the co-Chairs as required. 

The role will also involve updating the Tourism team on the actions and decisions of the Group, and possibly briefing the Minister of Tourism’s office. The Secretariat reports to the Tourism manager. In addition to supporting the establishment and ongoing work of the Group, the role may involve supporting the Tourism team with administrative matters, such as contract management, processing invoices, payments and preparing documentation.

Skills and Experience

  • Sound understanding of government processes and public sector management practices.
  • A proven track record of experience and achievement in providing personal and administrative support to managers and teams.
  • Demonstrated agility in supporting multiple teams and responding to changes in priorities.
  • Excellent communications (verbal and written) skills.
  • Sound relationship management and active listening skills.
  • Demonstrated ability in organising workflow and determining priorities.
  • The ability to work under pressure.
  • The ability to analyse information and display sound judgement.
  • A high level of computer literacy.
  • Demonstrated understanding of information management, including the facilitation, quality assurance and distribution of documents.
  • The capability to influence and persuade others to accept a view or action that promotes organisational success.
  • Experience taking minutes.

Qualifications

  • A tertiary qualification in a relevant field and/or comparable relevant experience.

Must have the legal right to live and work in New Zealand

Responsibilities of this position are expected to change over time as the Ministry responds to changing needs.  The incumbent will need the flexibility to adapt and develop as the environment evolves.

Support and Facilitate the work of the Tourism Data Co-Governance Group

  • Develop, plan and manage the forward agenda planning, agendas, schedule of actions and information requests, minutes of meetings, and all information management processes for the Tourism Data Co-Governance Group.
  • Assesses material going to the Group governance committee and provide feedback to authors/sponsors as necessary to ensure fit for purpose advice is presented.
  • Ensure materials are provided to committee members in a timely manner.
  • Prepare reports, letters and information for the Chair and co-Chair as required.
  • Shows a commitment to understanding and applying Te ao Māori to the MBIE Governance system and governance practices and our everyday interactions with each other.
  • Provides input to regular reviews of the governance system and identify any areas for improvement.
  • Finalises, distributes and follows up on Group governance committee minutes and action items as required.
  • Supports the development of innovative, practical, effective and durable governance support options that will help to achieve the desired outcomes.
  • Administrative support to the Tourism team and manager.

Relationship Management

  • Participates as an active team member and contributes knowledge and expertise needed to achieve MBIE’s outcomes.
  • Develops effective working relationships with other MBIE managers and staff in order to transfer knowledge and learning from the team to the wider organisation.
  • Builds and maintains effective relationships and partnerships with internal and external stakeholders, as necessary, in order to identify and share best practice information and to promote the Ministry, its products and services.
  • Represents whole-of-Ministry views and protects its reputation in any external interactions.

Wellbeing, health and safety

  • Displays commitment through actively supporting all safety and wellbeing initiatives.
  • Ensures own and others safety at all times.
  • Complies with relevant safety and wellbeing policies, procedures, safe systems of work and event reporting.
  • Reports all incidents/accidents, including near misses in a timely fashion.
