Tēnei tūranga – About the role
The Coordinator is responsible for providing efficient and effective support services to Managers and teams in the Entity Performance Branch. The Entity Performance branch supports MBIE with crown entity ownership by working with ministers, other teams and entities. We also work on crown entity monitoring, board appointments and secretariat services, and advise on significant ownership and investment decisions.
The Coordinator will be required to assist two Managers and Advisors in administration related tasks and be able to provide efficient support in ensuring the smooth running of the teams.

Personal specifications
- A proven track record of experience and achievement in a coordination role
- High degree of professionalism and protection of personal and or confidential commercial information
- An interest in extending into analytical work as opportunities arise
- Wide ranging knowledge of administration systems and processes
- Knowledge and understanding of working within a government agency
- Demonstrable influencing, interpersonal and communication (oral and written) skills
- Excellent relationship management skills
- Significant experience and proficiency covering Microsoft Office suite of applications
- Able to organise and prioritise workloads effectively across multiple teams, to ensure high quality results within deadlines
- Ability to work effectively in a team environment and to prioritise to achieve MBIE outcomes
- Willingness to work in a flexible and dynamic environment
- Understanding or experience of performance investment
- Willingness to share knowledge and expertise within the branch
- Must have the legal right to live and work in New Zealand.
Takohanga tuhinga o mua – Key accountabilities and deliverables
Critical areas of success
- Support Managers and Advisors with the coordination of briefings, letters of expectations, business cases, funding agreements and statutory reporting
- Support the Advisors to arrange quarterly and annual performance meetings with crown companies/entities, including travel bookings where applicable
- Ensure all briefings, statutory reporting, business cases, funding agreements and letters of expectations are coordinated/collated in accordance with administrative requirements
- Assist Managers and Advisors to provide efficient ministerial servicing and tracking of responses including correspondence, written parliamentary questions and OIA requests
- Ensure information flows freely within the team and across the branch
- Analyse information or data (on the basis of priority or relevance) to support relevant team members to meet deadlines
- Project coordination, including contract coordination and invoice processing
- Respond as required to incoming inquiries and requests
- Develop and deliver sound administrative systems, processes and documentation that will:
- enable the efficient management of work streams
- identify pressure points and risks for escalation, provide suitable solutions and improvements
- ensure MBIE policy compliance
- Assist with the production of quality and timely quarterly & annual reporting and coordination for both MBIE and crown companies/entities
- Identify areas of improvement and make recommendations for improvement
- Book meetings and organise rooms as required by the teams
- Process invoices, contracts and staff related documentation as required
- Ordering and purchasing of office equipment
- Provide diary management to members of the teams as required
- Managing key working relationships within the Ministry and with staff in Minister’s Office
- Managing key working relationships with counterparts in our crown companies/entities

The Coordinator position reports into a Manager within the Entity Performance branch. The branch sits within the Labour, Science and Enterprise group. The role also supports two managers within the branch and the respective teams of both managers.
