Tēnei tūranga – About the role

The Corporate, Digital and Shared Services (CDSS) group leads connects and strengthens MBIE’s core data and insights, digital and technology capabilities. The Cyber Security team are part of the CDSS group.

The PA/Team Administrator is responsible for providing organisation and administrative support to the Chief Information Service Officer (CISO) ensuring all tasks are tailored to the working style of the CISO, encompassing a proactive manner whilst facilitating the needs of the business. Additionally, you will be responsible for providing efficient and effective support services to Cyber Security team members and their respective people leaders.

These responsibilities will be executed by:

  • Supporting the CISO and ensuring their day-to-day work activities are managed effectively including proactive and efficient diary management
  • Being a communications link between the Cyber Security team and the wider organisation by building highly effective relationships and strong connections
  • Operating as a self-managing team member to help facilitate knowledge transfer, skills development, back up services and workflow practices that deliver a highly effective administrative service.

  • A proven track record of experience and achievement in providing personal and administrative support to managers and teams
  • Demonstrated agility in supporting multiple teams and responding to changes in priorities
  • Wide ranging knowledge of administration systems and processes
  • Proactive and uses initiative
  • Good standard of computer literacy and word processing
  • Ability to work effectively in a team environment and to prioritise work to achieve MBIE outcomes
  • Willingness to work in a flexible and dynamic environment
  • Must have the legal right to live and work in New Zealand

The PA/Team Administrator will be required to deliver results in the following areas:

Providing personal support to managers including:

  • assisting management in prioritising key tasks
  • assisting with oversite of cost centre budgets
  • diary management
  • preparation of documentation
  • follow-up action

Providing administrative support including:

  • assisting with team-based event activities
  • organising external and internal engagement and appointments
  • processing of invoices and payments
  • liaising with facilities and IT staff
  • Identifying opportunities of internal best practice, delivering sound administrative systems and processes as part of a business group support team, and maintaining a high quality and consistent MBIE approach
  • Supporting management and team in utilising self-serve approaches
  • Managing key working relationships within the Ministry and with staff in Ministers’ offices.
  • Arranging travel

  • Represents whole-of-Ministry views and protects its reputation in any external interactions
