Te Tiriti o Waitangi

Tēnei tūranga – About the role
The Programme Coordinator supports the Pou Tū Herenga/Director, Partnerships and Capability and wider team, works across BRM with a range of governance, administrative and coordination tasks to enable effective and efficient daily and work programme operations.
The role will be responsible for managing a busy workload with coordination across the work programme for Partnerships & Capability which includes:
- Whāinga Amorangi - coordinating at a business group level necessary programs to enable and realise Māori Crown capability, including reporting to senior leadership, governance agendas and minutes.
- Day to day responsibilities will include establishing and managing the reporting requirements for the Partnerships & Capability team, coordination of governance requirements for BRM senior leadership and, general administration tasks, updating the project plans and monitoring progress, calendar, and email management, which includes managing the teams’ shared inboxes for governance requirements.
- Managing relationships with external providers for logistics, bookings and future needs.
This is a highly collaborative role that will need to actively build and maintain relationships with teams within BRM and across MBIE, including external relationships.

Personal specifications
- Me matatau i te reo Māori me ōna tikanga – able to take part in general conversation with speakers of te reo Māori, understand most of what is said, can contribute relevant comments or is committed to further learning.
- Some understanding of Crown responsibilities under Te Tiriti o Waitangi and the aspirations and needs of Māori.
- Demonstrated agility in supporting administration and coordination for multiple teams in a fast-paced dynamic environment is advantageous for this role.
- Attentive to details and deadlines; sets priorities and manages time effectively with the ability to manage multiple initiatives or projects.
- Proven ability to use communication and information technology systems and methods including MSWord, MSProject, MSExcel, MSOutlook, MSPowerpoint.
- Can work with people across all levels of an organisation.

Project Management and Coordination
- Maintain the BRM Māori Capability plan for the programme which includes alignment with internal branch teams and wider MBIE.
- Maintain risk and issue registers.
Planning, Tracking, Quality, Change Control
- Provide programme planning, tracking, and reporting services.
- Support meetings: organising agendas, minutes and meeting papers for work programme leads and workgroup meetings.
- Maintain the work programme.
- LT and MBIE monthly reporting.
Work Programme and Team Support reporting
- Maintain the teamsite and internal resources.
- Maintain work programme documents, team record management, and another team collateral.
- Providing administrative support, including arranging meetings and travel, event management, ordering and purchasing of office equipment, liaising with facilities and IT staff, on boarding and off boarding staff.
- Act as part of the centre of expertise within the Partnerships & Capability team for how to effectively partner with Māori.
Relationship Management
- Effectively partner with Māori networks within Hīkina Whakatutuki/MBIE in the development of key people initiatives.
- Effectively develop and maintain relationships across the organisation.
- Ability to navigate and maintain important relationships and partnerships with stakeholders.
- Establish and maintain strong, professional relationships and networks with Iwi, hapū and key Māori organisations as required. Establish and maintain relationships across agencies.
Wellbeing, health & safety
- Displays commitment through actively supporting all safety and wellbeing initiatives.
- Ensures own and others safety at all times.
- Complies with relevant safety and wellbeing policies, procedures, safe systems of work and event reporting.
- Reports all incidents/accidents, including near misses in a timely fashion.
- Is involved in health and safety through participation and consultation.
