The role is responsible for providing efficient and effective support services to the Head of Tenancy and the wider Tenancy Services Team.

Personal specifications

  • Strong administration experience including the ability to work with documents and take accurate meeting minutes.
  • Demonstrated agility in supporting multiple teams and responding to changes in priorities.
  • Well-developed organisational and planning skills including diary and time management, the ability to multi-task and perform well under pressure.
  • Sound relationship management skills.
  • Proactive and uses initiative.
  • Ability to use communication and information technology systems and methods including: MSD Word, MS Excel, MS Outlook and Project applications and tracking systems.
  • Ability to work effectively in a team.
  • Willingness to work in a flexible and dynamic environment.
  • Has high ethical and professional standards and exercises discretion.
  • Has the legal right to work and live in New Zealand.

Responsibilities of this position may change over time as the Ministry responds to changing needs. The incumbent will need the flexibility to adapt and develop as the environment evolves.

Takohanga tuhinga o mua – Key accountabilities and deliverables

Providing personal support to Head of Tenancy

  • Assisting management in prioritising key tasks.
  • Diary and Email Management.
  • Preparation of documentation.
  • Meeting support including preparing agendas and minutes, presentations and tracking actions.
  • Follow up activities.
  • Ad hoc tasks where required.

Providing administrative support

  • Processing of invoices and payments.
  • Ordering and purchasing of office equipment.
  • Liaising with facilities and IT staff.
  • Arranging travel.
  • Relationship management of key stakeholders, internal and external
  • Assisting with event management and catering for business units and teams.

Other key accountabilities and deliverables

  • Identifying opportunities of internal best practice and delivering sound administrative systems.
  • Maintains a high quality and consistent MBIE approach.
  • Supporting management and team in utilising self-serve approaches.
  • Managing key working relationships within Tenancy Services including the Service Centre, Information and Education and within the Ministry.
