Tēnei tūranga – About the role

Standards New Zealand (Standards NZ) is New Zealand's national standards body, working closely with government, industry, consumer, and stakeholder groups to develop and provide access to standards that shape and improve the lives of all New Zealanders. Standards can play a key enabling role to grow value for New Zealand by facilitating trade and business and protecting the health, safety and well-being of New Zealanders.

Our role includes:

  • Standards development. We offer stakeholders from a variety of sectors a range of pathways to develop new standards, update existing standards, or adopt overseas standards.
  • International participation. We co-ordinate international participation in a wide range of ISO and IEC international standards and represent New Zealand, and its interests on the international standards stage.
  • Access to standards. We publish, sell and enable access to New Zealand, joint Australian/New Zealand, and international standards through our web-shop, subscription and reseller services. 

The Project Coordinator role includes administration and project coordination tasks that support the development of standards, including joint standards and international standards.

Personal specifications

  • Strong administration and meeting coordination experience including the ability to work with complex documents and take accurate meeting minutes.
  • Excellent relationship management skills with the ability to communicate appropriately and effectively with stakeholders at all levels.
  • Well-developed organisational and planning skills including time management, the ability to multi-task, and perform well under pressure.
  • Accuracy and attention to detail.
  • Proven ability to use communication and information technology systems and methods including: MS Word, MS Project, MS Excel, MS Outlook, competent at using the internet for committee research purpose, databases (familiarity required), MS Power Point, and AX MS Dynamics.
  • Takes responsibility and accountability.
  • Participates positively and is engaged in team activities.
  • Produces a high standard of work and shows commitment to delivering results.
  • Must have the legal right to live and work in New Zealand.

Key relationships

  • External stakeholders including government agencies, regulators, industry bodies, and tertiary organisations.
  • Volunteer standards development committee members.
  • New Zealand Standards Approval Board.
  • Standards Australia.
  • Members of the Standards NZ team, in particularly working closely with the Standards Development team, Senior Advisor Business Development and Senior Advisor International Engagement.

Takohanga tuhinga o mua – Key accountabilities and deliverables

This role will be responsible for supporting the delivery of results in the following areas:

  • Development of New Zealand Standards.
  • Development of Joint Trans-Tasman Standards.
  • Adoption of international standards and standards developed by other standards bodies.
  • New Zealand participation on international standards development committees.
  • Engagement with committee members and stakeholders of the standards development process.
  • Accurate and timely data entry and tracking of projects.
  • Public Consultation and Publishing activities
  • Balloting of country votes for International Standards Development
  • Servicing the Standards Approval Board.
  • Management of aged standards reviews and updates.
  • Committee Secretariate administrative support.

Responsibilities of this position are expected to change over time as the Ministry responds to changing needs. The incumbent will need the flexibility to adapt and develop as the environment evolves.

Administration and process

  • To ensure Standards New Zealand processes are carried out in a timely manner.
  • Prepare and amend complex documents with accuracy, ensuring completeness of content and fulfilment of Standards New Zealand document requirements.
  • Organise, prepare for, attend, and take minutes of standards development committee meetings.
  • Oversee public consultation processes.
  • Oversee committee voting procedures.
  • Process projects following Standards New Zealand’s processes and procedures, in consultation with the Manager Standards Development.
  • Maintain accurate records and compile regular reports in accordance with standing operating procedures.
  • Assist with the collections and collation of information for the submission of business reports.
  • Liaise with standard development committee members and members of international review groups, as required.
  • Understand and comply with those sections of the Standards New Zealand Quality Manual that relate to the role.
  • Adopt a continuous improvement approach to responsibilities, continually looking to improve Standards New Zealand’s processes.
  • Carry out other duties that may be required by managers from time to time. 

Relationship and project management support

  • Acting as a point of contact for stakeholders, commissioners, committee members, Project Managers, Conveners and Chairs.
  • Engagement and servicing of the voluntary committee workforce working on standards development committees and international review groups.
  • Build and maintain positive and cooperative relationships within Standards New Zealand and with outside organisations.
  • Actively participate in providing a high quality of service to customers and staff, and enhance the public perception of Standards New Zealand.
  • Preparing and amending complex documents with accuracy, ensuring completeness of content and fulfilment of Standards New Zealand document requirements. This includes:
    • updating draft standards
    • preparing project briefs, consultation documents and board memos
    • collating public comments received and assembling the information into the appropriate documentation for the standards development committee to review.

  • Is involved in health and safety through participation and consultation.
