The Coordinator, Information and Education is a team member position in Engagement and Experience, Information and Education (I&E) team.

The Coordinator, Information & Education supports across the I&E function of the Engagement and Experience branch. The position will work with the team on their work program and support the engagement strategies and plans. Part of the role will be to work with the Engagement Advisors and Director to gain better understanding of how customer groups interact, engage, and use information from the portfolio to support all upcoming engagement work programmes.

The Coordinator, Information and Education will support targeted campaigns, help the business to assist with continuous improvement and provide team administrative support.

Personal specifications

  • Demonstrated organisational skills, sound oral and written communication skills, strong attention to detail, and the ability to work effectively across multiple projects in a fast-paced and highly collaborative setting.
  • Proven track record in providing administrative and coordination support to a team.
  • Excellent working knowledge and experience of Microsoft Office suite, particularly Word, PowerPoint, Excel, Visio.
  • Proven track record in providing event management and support.
  • Experience in marketing support is desirable.
  • Excellent influencing, facilitating, interpersonal and communication skills (written and oral).
  • Current knowledge of social marketing and public information strategies and practices is desirable.
  • Proven track record in providing excellent customer service.
  • A knowledge of public sector processes/regulatory systems and how government works is desirable.
  • Ability to organise and prioritise workloads effectively, to ensure high quality results within deadlines.
  • Willingness to work in a flexible and dynamic environment.
  • Comparable relevant experience is required.

The Coordinator, Information and Education will be required t deliver results in the following areas:

  • Provide event, collateral, administrative, project and coordination support to the Information and Education function.
  • Manage production and distribution of forms and other collateral, plus undertake reviews and updates as required.
  • Support with I&E project timelines, identify milestones, and monitor deadlines.
  • Schedule and generate meeting agendas and meeting minutes, and determine, communicate, and track meeting action item.
  • Assist with tracking and assignment of tasks and actions, including administering team file-sharing space and coaching team members on usage practices.
  • Develop strong working relationships with internal and external stakeholders’ members as required.
  • Provide document preparation and distribution support, i.e., proofread, identify, and correct document format issues, print, and bind documents.
  • Work with external vendors (including printers and copy editors) to ensure that high standards for service quality and delivery deadlines are met consistently.
  • Update information and communications in relevant databases.
  • Provide event support (as appropriate), including catering, logistics, audio visual support, signage etc.
  • Assist with the development of strategies and work plans for the team that cover all target groups across multiple channels.
  • Provide marketing, coordination and administrative support to the Director I&E and management team as required.
  • Provide travel support for the Information and Education team, liaising with administrative employees as required.
