Tēnei tūranga – About the role

The Business Systems Coordinator assists the Business Systems team in the coordination, maintenance and enhancement of the IT systems made available by the New Zealand Government Procurement (NZGP) and Government Property Group (GPG) branches. They work with MBIE, government agencies and suppliers to ensure systems are fit for purpose and continue to meet stakeholders’ needs.

The role holder understands the benefits that well managed IT systems and analysis can bring to an organisation and the importance of keeping systems performing well and ensuring data integrity. The role holder supports the Business Systems team by facilitating support and training on IT systems, and supports the team in delivering the branch systems strategy by ensuring the integrity and quality of data within the various IT systems used. The Business Systems Coordinator provides assistance on key process and systems improvement initiatives.

The Business Systems Coordinator maintains and develops effective working relationships across NZGP, GPG, government agencies, suppliers and vendors and adds value by providing advice which ensures that the IT systems and tools the Business Systems team supports are appropriate and meet all stakeholder needs. The Business Systems Coordinator is responsible to ensure requests for assistance are handled in a timely manner, with professionalism, and which meet the needs of stakeholders.

Personal specifications

  • Committed to customer service – strong client focus, understands needs of customers, can manage expectations.
  • Technical knowledge in some the following areas is desirable but not expected:
    • Microsoft Dynamics CRM or similar.
    • ARCHIBUS or other lease management software.
    • Web support and design and understanding of the Common Web Platform (CWP) environment or other CMS.
    • Management of specialised IT systems such as Government Electronic Tenders Service (GETS) and Government Property Portal (GPP).
    • System and user acceptance testing.
  • Strong communication skills – both verbal and written, communicates in a manner which makes it easy for people to understand.
  • Strong interpersonal skills; demonstrated by credibility, personal or collaborative influence, managing expectations.
  • Sound decision making skills; able to analyse complex information from a variety of sources, make sound judgements and assumptions based on fact.
  • Good organisational skills; able to plan work, prioritise and work in a systemised way to meet competing deadlines without compromising quality.
  • Effective time management; lead and manage multiple tasks and prioritise appropriately while demonstrating a willingness to be flexible and adaptable to changing priorities.

The systems used across NZGP and GPG meet the needs of MBIE and customers

  • Systems are maintained and enhanced which meet NZGP, GPG, government agencies, and suppliers needs.
  • Opportunities are identified where NZGP and GPG can provide additional value for agencies and suppliers.
  • System integrity is maintained and there are no breaches of privacy or unauthorised access of the data held within the systems.
  • Represents NZGP and GPG and the Business Systems team at appropriate meetings.

Systems Support

  • Triage and respond to enquiries regarding NZGP and GPG systems including:
    • Second level support for MBIE Service Centre.
    • Second level support for Government Property Portal (GPP).
    • Low level incident management for other systems.
  • Continuous analysis and improvement of systems and business processes.
  • Facilitates the delivery of training to NZGP, GPG, and end users of systems.
  • The use of the systems provided by NZGP and GPG are actively supported and promoted which results in an uplift by team members and other government agencies.

Effective stakeholder & relationship management

  • Develops and maintains cooperative, partnering relationships with NZGP and GPG key stakeholders.
  • Manages issues by focussing on meeting customers’ needs and identifying opportunities for resolution.
  • Builds collaborative relationships with teams across NZGP and GPG and is seen to add value to the deliverables of various teams.
  • Provides advice to personnel within government agencies that is considered and consistent and which meets or exceeds agency requirements.
  • Represents NZGPP views and protects its reputation in any external interactions.

Wellbeing, health & safety

  • Displays commitment through actively supporting all safety and wellbeing initiatives.
  • Ensures own and others safety at all times.
  • Complies with relevant safety and wellbeing policies, procedures, safe systems of work and event reporting.
  • Reports all incidents/accidents, including near misses in a timely fashion.
  • Is involved in health and safety through participation and consultation.
